Bolivia Coordination

I would like to let you know that we have made some changes in the missionary personnel responsible for coordinating VIM teams in Bolivia. Michael Keyse is no longer serving as a GBGM missionary and we have assigned John and Suzanne Funk to cover the coordination of VIM teams to the Evangelical Methodist Church in Bolivia until we find a permanent replacement.

John and Suzanne Funk have been working as GBGM missionaries at the Methodist Rio Colorado School in the Beni, Bolivia for the past three years where they have experience coordinating teams at the school. We have made this temporary arrangement to insure that the VIM teams now planning to visit Bolivia will be provided for in a appropriate and adequate manner and so that others can continue to plan for future visits to Bolivia.

Please do not hesitate to be in touch directly with John and Suzanne about any upcoming trips to Bolivia. I would also appreciate it if you would advise any VIM Coordinators or team leaders with whom you have contact of this change.

WNCC Policies for Itineration

Missionary Itineration Funding Policy
Western North Carolina Conference

Funding for itineration is limited. The budget for itineration in the WNCC is less than $500 per year. Thus, the following regulations have been set and shall be sent to all churches hosting missionaries prior to the hosting.

Travel TO/FROM WNCC:
The WNCC will not be responsible for travel to/fro the Conference boundaries. It will be the responsibility of the General Board of Global Ministries to bring the missionaries to the airport/bus station closest to the first speaking engagement. If driving, GBGM has the responsibility of paying mileage up to the first speaking engagement.

Pick Up/Drop Off:
The WNCC has the responsibility of picking up missionaries at the airport/bus station upon coming into the Conference. If driving, WNCC has the responsibility of paying mileage from the first speaking engagement through the last speaking engagement. Mileage shall be paid at .55 per mile with a proper mileage voucher and W-9 on file.

Church Responsibility:
Churches shall be responsible for hosting the missionary while at the churches. If speaking at more than one church per day, arrangements shall be made between the churches for the missionary’s hosting. Hosting includes room and board from the speaking engagement until the next speaking engagement (some flexibility between churches needs to be experienced – i.e. suppers on nights before morning speaking).

Churches shall be responsible for reimbursing the Conference for mileage paid to the missionaries. Churches shall be responsible for the mileage TO their church from the last speaking engagements. Funds should never be given to the missionary for mileage, housing, or projects. Funds should be sent to the Conference Office, c/o Office of Mission / Outreach, as soon as possible.

Speaking Times:
Priority shall be given to churches in Covenant Relationship with a missionary and churches supporting projects in the country where the missionary is stationed. As the date for the itineration nears, other churches shall be contacted to fill in dates. The Office of Mission / Outreach may arrange the missionary’s schedule, ask a Covenant Church to help arrange the missionary’s schedule, or the missionary may arrange his/her own speaking schedule.

Non-Speaking Times:
If the Office of Mission / Outreach or someone working on its behalf arranged the schedule for a missionary itinerating in the conference, and the missionary has dates/times not covered by churches, the Office of Mission / Outreach shall be responsible for hosting the missionary. If funds are not available for this need, the Office of Mission / Outreach shall contact the General Board of Global Ministries informing them of the situation. If funding cannot be worked out, the missionary will not be allowed to itinerate in the Conference.

If the missionary has arranged his/her own itinerary, then the Office of Mission / Outreach IS NOT responsible for non-speaking times.
If a missionary wishes to add time to his/her schedule for “personal time” the WNCC is not responsible for hosting during this time.

If a missionary wishes to bring children, thus adding to the cost (lodging, transportation, board), the WNCC is not responsible for expenses of the children.

Mission Secretaries' Meeting, Leesburg, Fla

Grace and peace in the name of the Lord, Jesus Christ!

Our Mission Secretaries’ Meeting (SEJ CSGM) is scheduled for October 21-24, 2009 at the Life Enrichment Center, Leesburg, Fla in the Florida Conference. You have received recent emails from Larry Rankin of his appointment to a church in the Florida Conference, thus he will not be our “host.” Also, in case you have not heard, we have “lost” our V-P to the SEJ UMVIM. Congrads to Paulette West and best wishes. We will let you know if more changes develop and when we hear of replacements. Please send any notices of conference Mission Secretary changes to Nancy Eubanks, Secretary.

We are still on for the event in Leesburg. It is suggested that we fly into Orlando International Airport. If we can arrange “times” we can “share a rental car” from the airport. Our new contact is Judy Perella in the Florida Conference.

As part of our time together I have asked Sharon Clapp with the UMC Foundation to work with us on “Funding Possibilities for Missions.” I will be working with Sharon prior to the event to narrow the focus. If you will remember, we agreed to have 1/3 time as education, 1/3 time as work, and 1/3 time as pleasure! Please share your suggestions! Arrival time would be 3 PM on Wednesday, Oct 21 and departure would be Saturday, October 24 after lunch.

It is necessary for us to register for this event, as soon as possible. In order to register, please send me your contact information with the number of reservations you would like to have as soon as possible. I need to have the total number of participants and funds on hand by September 1st. I have been asked to collect the funds and registrations so we can turn in one lump sum and keep the status of the Conference. The total costs are: 3 nights with 9 meals -- $177.00 per person (Double) or 3 nights with 9 meals -- $243.00 per person (Single). Please indicate need for Handicap or first floor room. Please send funds to the attention of: Mike Collins, P.O. Box 18005, Charlotte, NC 28218. Please make out checks to “WNCC Treasurer.”

UMVIM and The Advance Brochures

UMVIM Coordinators,

I hope all of you are doing well. I wanted to send an email pointing out just a few things:
1) If you have not received a shipment of the "UMVIM and The Advance" brochures, please let me know. I had at least 200 shipped to each of you for you to use in your UMVIM team-leader trainings. If you have any questions about this brochures or what to say about The Advance during team-leader trainings, please call me. 212-870-3717. Also, contact me if you need more brochures.

2) I have attached a pdf of the brochure so that you can see. Do not print out and use this brochure unless you are able to print it double sided, like the actual brochures. There will be a simpler 1 page 8.5x11 pdf version available shortly.

3) The International and Domestic project listings have been updated with links to the projects' Advance pages at www.umvim.info. Lorna Jost (NEJ) and the SEJ office helped me make it so volunteers can click on a project's Advance number to learn more about the project and donate online. Please peruse the lists and click on a few projects so that you are familiar with this feature. Then share it with persons at UMVIM trainings and events.

4) I am creating a new page for the UMVIM training manual about The Advance. If there are any common questions you get regarding The Advance which I could address, please let me know.

Also, please let me know if you have been able to use the brochures and if you think they are helpful. And please give feedback on the clickable project listings. I'm here to help you resource your volunteers and help our projects create long term partnerships with teams. Let me know if I can assist you better in any way. If your email has changed, please inform. Thank you.
